Escalated Violations

Most associations impose repercussions for repeated violations once a specified threshold has been reached. This may be something such as a board hearing, fine, or other variable process.

HOALife supports promoting a violation into an escalated state once the repeat violation has been recorded a specified number of times.

Escalation Threshold: A customizable limit which triggers repeat violation escalation.

Once an violation has been escalated, most processes the association implements is expected to be handled out-of-system. Utilize escalation notes to track any out-of-process events. Leverage Escalation Letters to communicate with the property owner in-system. You can use these for Hearing Letters, Fine Notices, or any other type of communication relating to the escalation.

If your escalation process is time based, leverage the "Snooze" feature to follow up on the escalation at a specified date. Once an escalation has been resolved, the escalation should be marked as resolved.

Impacts

Once escalations are enabled, there are a number of changes in the violation flow.

  • Once the escalation threshold has been met, the violation will be escalated. In-process escalations are highlighted on the dashboard, while all escalations are visible on their property's respective page.
  • Violation notices and cover letters will not be generated for the violation which triggers escalation.
  •  Violations of the escalated type will no longer be permitted to be entered for subsequent inspections until the escalation is marked as resolved.
  • Subsequent violations of the same type recorded for a property during an inspection will automatically be added to the in-process escalation as a note. This is a useful way for inspectors to confirm if the property owner has resolved the non-compliance from the field.

Configuring Escalation Thresholds

Changes to escalation thresholds only impact new violations created after the change. If enabling Escalations for the first time, no escalations will be created until a subsequent violation has been recorded. Reducing the threshold will not impact existing escalations.

Turn on Escalation Thresholds by navigating to your Association's Settings page. Specify the threshold at which an escalation will be created.

This can be any numberIf you want the same escalation threshold for all your violation types, this is the only configuration change required.

Violation Type Specific Escalation Thresholds

HOALife supports customizing escalation thresholds for specific violation types. This allows you to escalate high-consequence violations after fewer repeat occurrences than violations of a low-consequence nature.

Violation Type specific Escalation Thresholds cannot be configured unless you've set a default escalation threshold for your association on the settings page.
If no escalation threshold is set for a violation type, the account's default esclation threshold will be used.

Navigate to the Violation Type in question to specify the escalation threshold for that violation type.
