Motions

Motions are yay/nay votes cast by either by Board Members and Management or Property Owners. Use Motion Votes to approve or deny budgets, CC&R changes, or other binary votes. Participation in votes is inclusive, meaning that who votes on a motion has be selected by the motion's author. This allows targeting subsections of your communities or committees.

Property Owners vote digitally via the Homeowner Portal, while Board Members and Management vote via the HOALife Dashboard.

The participation of voters, their approval/denial, and comments are visible to HOALife Dashboard Users. Consider our Polls and Elections if you're seeking confidential voting.

Creating a Motion

Motions must target either Board Members and Management (HOALife Dashboard Users) or Property Owners. Add the details for your motion to help the voter make an educated decision.

Requesting Votes

No one can vote on a motion until their vote has been requested. This allows you to target specific segments of your community (Property Owners) or committees (Board Members and Management).

Requesting Votes from Property Owners

You can request votes from select Property Owners or everyone with a few clicks. Notifying the Property Owner about their need to vote requires you direct them to the homeowner portal via Bulk Email Conversations or other means. You should direct Property Owners to the Homeowner Portal to vote using our Homeowner Portal URL Dynamic Variable.

Inviting property owners

Property Owners will be prompted to vote when logging into the Homeowner Portal.

Votes for motions can be Approved or Denied with the ability to add comments.

Requesting Votes from Board Members and Management

Select the Dashboard Users you want to vote on the motion. Users will be notified of their vote request unless they've explicitly disabled all vote request User Notifications. Users which have already voted will not appear in this list. You can invite yourself as a voter as well.

Inviting Board Members and Management

Vote requests are sent via email or web notification, depending on the Dashboard User's preferences. They will also see the Vote Request promoted on their Dashboard.

Casting a vote on a Motion supports Approving or Denying and adding a comment. A vote can be changed until the Motion has been Finalized.

Finalizing a Motion

The final result of a Motion is dependent upon your action to determine if the Motion has been Approved or Denied. This accommodates arbitrary quorum, time duration, and participation requirements your CC&Rs may define. A tally of participation, approval, and denial votes are provided to help you determine the best finalization action. Once a Motion has been finalized as Approved or Denied, voting will be closed to new votes and vote updates.
