Deficiencies & Work Orders

Deficiencies are issues that are noted about Assets either during an Inspection or from the Dashboard. What a Deficiency is to an Asset, a Violation is to a Property. Generally the HOA, rather than an individual property owner, is responsible for the resolution of a Deficiency.

To create or view deficiencies for a particular asset, navigate to the Asset drop down on your dashboard and select Assets. You can also create and view all deficiencies for all assets by selecting deficiencies from the same drop down.

Deficiencies can also be recorded via the HOALife Inspector app. While conducting property compliance inspections, you can also complete any site inspections on your community’s common areas or other noted assets. Having all areas that need to be inspected right at your fingertips in one app will save you time and optimize the inspection process. 

   

Owners can also submit deficiencies from their owner’s portal by navigating to the “Maintenance Request” link. Dashboard users can then determine the legitimacy of these deficiencies and respond appropriately by converting this suggestion to a deficiency or choosing to ignore what has been submitted if it is a duplicate or not an HOA responsibility. 

Once a deficiency is noted on an asset, you can easily create a work order. A work order can be viewed by any HOALife Dashboard User as well as downloaded as a pdf or spreadsheet and shared with the Board of Directors, Maintenance Personnel, or Vendor. This also creates a record of requested repairs reported or completed for an asset that can later be referenced for any historical purposes, insurance claims, owner requests, etc.
